From the moment you contract our services, we set up a phone call or virtual meeting to review wedding-related details including:

Our dedication to the design, production and careful coordination of your celebration is at the pinnacle of our priorities. 

During this stage of the planning, we help you creatively land your vision and tailor recommendations to your unique style, personality and budget. You can expect us to deliver on every aspect of the planning and execution of your event, including:

  • The creation of a custom mood-board – color palette, decoration inspiration, florals, lighting, and music.
  • Consistent communication depending on the preferred method of communication of the couple. (phone, zoom, text message, emails or WhatsApp)
  • A wedding planning group chat with the couple and planning team.
  • In-person/virtual site visits of each venue option.
  • Contracting and coordinating relationships with vendors for music, audio visual, photography, photo booth, entertainment, florals, linen, décor, etc.
  • Menu tasting, wine pairing, signature cocktail design (in person if possible) and table design.
  • Valuable reminders on security deposits and reviewing cancelation policies with the couple.
  • Formal proposals of all services, vendors and payments.
  • A payment schedule along with all of the respective receipts.
  • Floor plans and layouts of all venue-related activities.
  • Workflow timeline of wedding day.
  • Coordinating vendor arrival based on a carefully curated schedule.
  • If you secure your hotel through Näbia Weddings, we will also coordinate the guest room block reservations, welcome amenities and upgrades on your behalf.
  • Guest transportation coordination – from airport to hotel and/or from hotel to venue. (if applicable)
  • Coordination of special attention to close family members.
  • The planning of any additional events related to the wedding: Welcome dinner, Rehearsal, Farewell Brunch, etc.
  • Confirmation of ceremony rehearsal and bridal party.
  • A comprehensive crisis management plan involving weather, location, vendors, any other potential surprises.
  • On-site bridal emergency kit.
  • Pre-wedding meeting with the couple to review vendors, wedding schedule, timeline and to confirm all services.
  • Finalizing seating arrangements for each meal.
  • Re-confirming dietary restrictions for all guests.
  • Supervising venue set-up, vendor arrivals and departures. (music and entertainment rehearsals)
  • Welcoming guests to ceremony & reception.
  • Orchestrating wedding based on itinerary previously discussed at the pre-wedding meeting.
  • Preparing guests and couple for ceremony as well as harmonizing timing and music.
  • Ensuring photography session is successful.
  • Consistent communication with venue to ensure that the cocktail party starts and ends smoothly.
  • Assisting with the transition from cocktail to reception so all guests find their seat.
  • Ensuring couple is ready and refreshed to enter the reception.
  • Supervising meal schedule to ensure each course is served at the appropriate time and ensuring waiters understand each table’s dietary restrictions.
  • Coordinating toasts and speeches during meal service.
  • Assisting in aligning the perfect time for the couple’s first dance.
  • Overseeing bar operations, couple and guest needs.
  • Ensuring entertainment runs smoothly and according to schedule.
  • Once wedding is over, Näbia’s team assists in teardown and ensuring that the venue, vendors and other services fulfilled their promises and that there is no damage or items left behind.
  • Post-wedding, our team will return security deposits according to the payment schedule and culminate our services with a follow up call.
